Advanced options

The Advanced Options area is where you manage event prices and CPD points, as well as more complex settings such as registration types, event add-ons and workshops.

Click the Advanced Options button at the top of the New Event screen.

Or, from the Manage Events list, find your event and click the Actions button on the right and select Advanced Options.

You will then see the Advanced Options screen. If you need to go back and edit any of the details you added when setting up the event you can do so by clicking the Edit Event button in the top right of the screen.

Registration Types and Prices

Pricing options

To set the registration prices and delegate types for your event, click the Pricing Options button. Event delegate types are created in Settings, for information on how to do this see the Event Delegate Types User Guide.

Select the registration/delegate types you want to include with your event and click Save.

Registration types

To create the registration type, click the New Reg Type button.

In the Registration Type field enter the name of the registration type, eg. Full, Saturday etc.

In the Description field add a brief description of what the registration includes.

In the Start Date Time and End Date Time fields, use the date/time picker to add these for your event. If you are running a multi-day event with multiple registration types then this is where you can restrict registrations to certain days. For example if it's a three day conference your start and end dates/times would be set accordingly for a full registration, however, for single day registration the start and end dates/times would only be for that one day.

In the Max Attendants field you can set the maximum number for that registration type. For example, if you wanted to restrict the number of student registrations to an event, you would enter the maximum number allowed here. This field DOES NOT set the maximum number of attendees for the event overall, only an individual registration type.

Set the number of CPD points

In the CPD Points field, enter the number of CPD points allocated to that registration type.

IMPORTANT NOTE: You must include CPD points with the event at the time of setup if you wish to write the CPD activity to the member's CPD log.

If the number of CPD points to be allocated to the event hasn't been finalised include an estimate of the points to be allocated, it can be amended at a later date. Event registrations are linked to the event setup and if no points are recorded when the CPD activity log is written the entry will have zero points applied.

Click the Save Reg Type button.

Registration prices

Now that you have created your registration types you can add prices. To do this, click the Actions button on the right and select Registration Prices.

In the Pricing box, enter in the prices for the various categories. Once entered click the Save Prices button.

IMPORTANT: All prices must be entered excluding GST.

Repeat the steps above to create as many registration types as required.

You can include further information about the registrations by adding Copy Snippets above and below the event registration information. To do this, click the Copy Snippets button.

Copy Snippets

In the Copy Snippets box you will see the same WYSIWYG editor used in the CMS. You can format text and add images and link as required.

Event Add Ons

Event Add Ons is used to add extra functions or tickets outside of an event registration. For example you may have an optional networking function or delegates may want to purchase a ticket to a social function for their partner.

To create an Add On click the +New Add On button.

Enter details of the function into the Function Name field.

In the Description field add a brief description of the function.

Enter the function start and end dates and times using the date picker.

Enter the cost of the function into the Price field. NOTE: The ex-GST cost must be entered.

If you require any additional information you can add it to the More Info Question field. If this field is left blank it will not appear on the registration form.

Click Save Add on.

If you need to update the Add On at any point, you can do so by clicking the Actions button on the right and selecting Edit Add On.

As with the Event Sections/Registration Types above you can include further information about the Add Ons by adding Copy Snippets above and below the event add on information. To do this, click the Copy Snippets button.

Workshops

The workshops area is used when you are running an event with multiple sessions or workshops. You can set maximum attendees and CPD points for individual workshops.

Workshop streams

Before you can create any workshops, you must set up the workshop streams. To do this, click the Workshop Streams button.

Click the New Stream button

Enter the Stream Title and a brief description, click Save Stream.

If you need to edit the stream at any time, click the Actions button and select Edit Stream.

Create workshops

To create a workshop click on the New Workshop button.

Select the Stream from the dropdown.

Enter the workshop title and a brief description.

Set the start and end date/time using the date picker.

Enter the CPD points if there is to be a specific point allocation for the workshop. If CPD points are awarded overall for the event, rather than for an individual workshop, you can set this in the Registration Type.

Enter the Max Attendants for the workshop.

Click Save Workshop.

If you need to change the workshop at any time, click the Actions button on the right and select Edit Workshop.

As with the other areas of the Advanced Options screen, you can include further information about the workshops by adding Copy Snippets above and below the event add on information. To do this, click the Copy Snippets button.

Registration Form Custom Fields

You can customise the event registration form by including custom fields. You can add custom fields created specifically for events and/or custom profile fields.

Custom fields are included on the registration form beneath the registrant details.

Create Event Custom Fields

Before you can add an Event Custom Field to an event, you need to create it.

Click on the gear icon to open the Configuration and Settings menu.

In the menu on the left, select Events > Reg. Custom Fields.

Click Add New Field.

Enter the field name, select the field type and enter the display order.

Click Save New Field.

Add Event Custom Fields to an Event

You can select which Event Custom Fields you wish to include on the event registration form from the Advanced Options page of the event setup.

Scroll down to Registration Form - Event Custom Fields and select the relevant fields to be included. Click Save.

Profile Custom Fields

To select which Profile Custom Fields you wish to include on the event registration form go to the Advanced Options page of the event setup.

Scroll down to Registration Form - Profile Custom Fields and select the relevant fields to be included. Click Save.
