Profile Interactions
Profile Interactions are used to record activity or information on a member’s profile. Custom Profile Interactions are created by the association and can be tailored to its specific needs, while System Profile Interactions are automatically generated by the Membes AMS when certain processes occur, such as event registrations.
Creating a Custom Profile Interaction Type
Custom Profile Interactions can be created to log information that is specific to your association.
Click the gear icon in the top-right corner to access Configuration & Settings.
In the menu on the left, go to Profiles > Interaction Types.
Click the New Interaction Type button.
Enter a Title and select a Colour for the Interaction Type
Click the Save Interaction Type button.
Adding Custom Fields to a Profile Interaction Type
Up to 3 custom fields can be added to a Profile Interaction Type to assist with recording information.
After entering the Title and allocating a Colour for the Interaction Type, click the Add Field button.
Enter a Field Label and select the Type of field, the field options available are:
Text
Date
Attachment
To delete a field, click Actions and select Delete.
Click the Save Interaction Type button.
Viewing Profile Interactions
First, find the relevant profile. You will be able to see the Interaction Timeline on the right-hand side of the profile dashboard.
By default, the Interaction Timeline shows the Title of the Profile Interaction and the date it was created. Click on the Title to expand the entry and see the full details of the Profile Interaction.
Filtering Profile Interactions
Over time, the number of Profile Interactions will accumulate, filter the Interaction Timeline by specific Profile Interaction types to quickly find relevant information.
Click the Filter button in the top-right corner of the Interaction Timeline.
Check the box for the specific Profile Interaction Type you wish to view and click the Filter button.
All Interactions for the selected Profile Interaction Type will be displayed in the Interaction Timeline.
To display all Profile Interaction Types again, click the Filter button in the top-right corner of the Interaction Timeline.
Click on the All option to check the boxes for all Profile Interaction Types and click the Filter button.
Adding a New Profile Interaction
Load the relevant profile and click the + button in the top-right of the Interaction Timeline.
Click in the Type field to select the Interaction Type, scroll to select the Interaction Type from or type the name of the Interaction Type to select it.
Enter the Title and Description for the Interaction, as well as adding information to any Custom Fields that may have been created for the Interaction Type.
If an Action doesn’t need to be assigned, click Save Interaction.
Adding an Action Item
Follow up actions can be added to a Profile Interaction and assigned to an administrator and given a due date for completion.
To add an Action Item to a Profile Interaction enter the details into the Action field, then click in the Assign To field to assign the Action Item to an administrator. Click in the Due Date field to select a date.
Click the Save Interaction button.
Identify Pending Action Items in the Interaction Timeline
Any Profile Interactions with a pending Action Item will be highlighted in the Interaction Timeline by a coloured Title.
A bold orange Title signifies an Action Item is awaiting completion.
A bold red Title signifies the Action Item is overdue.
Completing an Action Item
Click on the relevant Profile Interaction to expand it.
Click on the Action button.
Enter any additional notes into the Action field and check the Complete box.
Click the Save button.
The Title of the Profile Interaction will no longer be highlighted in the Interaction Timeline.
Editing a Profile Interaction
Click on the Profile Interaction to expand it and click the Edit button.
Update the Profile Interaction fields as required and click the Save Modified Interaction button.
Viewing Profile Interaction History
Click on the relevant Profile Interaction to expand it and click the History button.
The content of the original Profile Interaction will be displayed on the screen.
Reporting on Profile Interactions
Video tutorial: Export profile actions
From the menu on the left select View/Export Data > Profile Interactions.
Select the relevant Profile Interaction you wish to export by clicking in the Profile Interaction field, you can select multiple interaction types.
You have the option to add a Profile Actions filter, select from Completed or Not Completed actions, leave blank to export all actions.
You also have the option to filter by the date the Profile Interaction was logged or the Action Item was completed. Enter the relevant dates into the From and To fields.
Once you have set the appropriate filters click Data Table to view an on-screen list or click the Excel button to export the list.
