Email signatures

All emails sent from Membes use an Email Signature. These can also be used to create email templates to be used in broadcast or individual emails.

There are a number of default system Email Signatures used for different functions which can be edited. You can also create customised Email Signatures for your organisation.

Custom signatures are used for signature templates from particular staff or organisation departments, such as "Membership Officer" or "Events Coordinator". They can be used to send emails via the Broadcast Email and Profile Email functions. Custom Signatures can also be setup as templates for emails that will be sent regularly.

Click on the gear icon to open the Configuration and Settings menu.

In the menu on the left, select Email Signatures.

You will see list showing all current Email Signatures. From this list you can edit, delete or create a new signature. System and custom signatures can be identified by whether or not they have a red Delete button. System signatures cannot be deleted and will not have the option available.

Edit Signatures

You can amend an existing signature by clicking Actions > Edit Signature.

From here you can update the details of the signature. Take care if changing the title of a system signature, make sure the title refers to the function of the signature to save confusion later.

Any valid email address can be used as the From Email Address.

The Header and Footer content boxes use the same WYSIWYG editor you see in other parts of the administration system.

Any content you add into the Header will appear above the Email Body content in an email, and the Footer content will display below.

If you wish to create more complex content or use a template from an external system or editor, you can click the HTML button to work directly in the source code.

Click the Save Signature button.

Build templates with Drag and Drop Editors

You can also compose emails with your preferred drag and drop editor. There are some commonly used editors:

However you can you any editor that meets your needs so long as it allows exporting of your template to HTML.

One you have composed your email in your preferred editor, you then:

  • Export the HTML for your template

  • Create a new signature in Membes

  • Change the editor type from WYSIWYG to HTML.

  • Paste the HTML into the Header field.

This template can now be sent as a standard Membes signature from Broadcast emails or profile email.

Create new signatures

Click on the New Signature button in the top right of the Email Signatures list.

Enter the Title of the signature and the From Email Address, click Next.

Add your content into the Header and Footer content editors or click the HTML button to work directly in the source code.

Click the Save Signature button.

System signatures

System Signatures are pre-loaded, they are used by the system to compose emails generated by specific system events. You cannot create or delete System Signatures, however you can edit the From, Header and Footer values of the email generated by the linked system event.

The system events and their related Signatures are:

  • Membership Application - Confirmation - Sent when a membership application has been confirmed.

  • Membership Application - Paid - Sent on successful submission when application has been paid by credit card. A link to the paid invoice is included in the email below the Header and above the Footer.

  • Membership Application - Pending Payment - Sent on successful submission when payment is not received at time of application. A link to the invoice is included in the email below the Header and above the Footer.

  • Membership Application - Scheduled Payment Processed - Sent when a scheduled membership credit card payment has be processed.

  • Membership Application - Scheduled Payment Declined - Sent when a scheduled membership credit card payment has been declined.

  • Membership Renewal - Complete - Sent to Member on successful renewal when member has paid by Credit Card. A link to the paid invoice is included in the email below the Header and above the Footer.

  • Membership Renewal - Pending Cheque/EFT - Sent to member when payment has not been received at time of renewal. A link to the invoice is included in the email below the Header and above the Footer.

  • Event Registration - Registration Received - Sent on successful event registration. If a paid event, a link to the invoice is included in the email below the Header and above the Footer.

  • Event Registration - Certificate of Attendance - Sent to the registrant when administrators issue Certificates of Attendance via the Manage Registrations screen.

  • Forum Notification - Sent to members subscribed to a forum category when a new topic has been posted to the Discussion Forum.

  • Shop Purchase - Sent to the purchaser when a shop purchase is made. A link to the paid invoice is included in the email below the Header and above the Footer.

  • Renewal notices - Sent when a Membership Type has been configured as a Rolling (Anniversary) membership and automated renewal notices has been switched on.

 

Merge Fields

Currently, merge filters can be included in a signature, however will only be merged when the signature is used to send an email from a profile. Merge filters are not applied if a signature is used for a broadcast email or system email.

It is recommended to only add merge fields to signatures that you know will only be used as templates for sending emails to individual profiles via the profile > send email function.
