From the menu on the left, select Event Management > New Event.
You will be taken into the event setup screen to start adding details of the event.
Event description
In the first part of the screen you will see a number of fields, these fields will display on the Home Page Teaser and Events Calendar listing.
Event code - If you use an internal code for your events add it here.
Event type - Endorsed events are those run by your association, Independent events are those run by other organisations that you wish to display on your website.
Event title - The name of your event ie., Victorian Branch Meeting.
Topic - Enter the topic details.
Venue - Enter the venue details.
Content categories - Click in the box and select the Content Category that applies to your event. This will allow users of your website to filter the Events Calendar by these categories. Read more about setting up Content Categories.
State, Country - Click in the box and type the state and country your event will be held in and select the option when it appears. This will allow users of your website to filter the Events Calendar by location.
Description (Summary) - This summary description will appear on the Home Page Teaser.

IMPORTANT: If you are using Content Categories to allow users to filter the Events Calendar by these categories, then Content Categories must be applied to ALL events. If some events do not have a Content Category applied, they will not be visible on the Events Calendar. |
Detailed event description
In the Description (Page) area you can enter a detailed description of your event. This uses the same WYSIWYG editor as the CMS so you can format your text, as well as add images and hyperlinks.
Under the Description box you will see the Registrations Full content area. Use this if you wish to display a particular message on the event page once registrations are full. You may like to include an email address link so people can join a waitlist.
Date and contact settings
Add in the date and time details for your event. These settings will create a .ics file that will allow users to add the event to their calendar, they can download this directly from the events calendar and it will also be attached to the registration confirmation email.
Timezone - This field will default to the timezone set in your web browser.
Start Date & Time - Select the relevant date and time from the picker.
Start Time - This is a text field so additional information can be included if required.
End Time - This is a text field so additional information can be included if required.
You can also add contact details for potential delegates who have any questions about your event.
If you would like to redirect people to an external website you can enter the URL into the Website (URL) field, in the Website Link Text field add the text you wish to display as the link. For example, the URL might be www.sampleconference2018.com.au but rather than showing the full URL as a link, you want the link to display with the text "2018 Conference".
You can also attach a file to an event by clicking the Choose File button in the Attachment File field. Similar to the Website Link Text, enter the text you want to display for the attachment link.
Registration settings
Now you need to add your event registration settings. NOTE: the selected option is enabled when it is highlighted green.
Requires Registration - Select Yes if you require delegates to register in advance to attend the event.
Registration type - Select Internal if your association is managing the event registrations. Select External if it is an Independent event you are displaying on your events calendar and the registrations are to be managed by another organisation, when you select External a field will appear for you to enter the URL where delegates can register their attendance.
Registration is Open - Select Yes if you are ready to take registrations for the event. If you wish to display the event on your calendar but aren't ready to start taking registrations select No.
Open/Close - If you wish to Open and Close registrations for the event at a particular time, click in the box and select the relevant date and time.
Maximum Attendants - enter the maximum number of delegates who can attend the event.
Add GST - choose whether or not you wish to include GST on event registration invoices.
CC Event Reg Notifications to - If an email address is entered then a copy of all registration confirmation emails will be sent to this address as well as the delegate. If left blank, the confirmations will be sent to the address set in Email Signatures.
CPD setting
If the event is a valid CPD activity and you wish to add it to delegate's CPD log after their attendance has been marked, select the CPD Activity Type from the dropdown field.
Display settings
If the event is only to open to members of your association, set the Members Only field to Yes.
If you want an event teaser to appear on your Home Page, set the Home Page Teaser to Yes.
If you want the event to appear in the Events Calendar, set the Display Events in Calendar toggle to Yes.
Select from Set Registration to Confirmed dropdown if you want registrations to be confirmed when payment is received or at the time of registration.
You can also choose if you wish upload a Promo Image to display in the Home Page Teasers and on the Events Calendar.

If you have set up your home page with the image carousel layout for event teasers, any promo images must be 360px wide x 200px high. |
Zoom webinar integration
You can choose to connect your Zoom account to Membes to make it easier to manage webinar registrations.
Webinar attendance is marked automatically based on the Attendance Threshold set up in the event.
Financial settings
If you have integrated Membes with Xero, you can select the relevant account code from the dropdown.
If you have not integrated with Xero, you can enter the relevant accounting details to be exported with the invoice list.
Click the Save Event button.
